What matters in building cleaning between rounds, quality and hours
Districts and recurring rounds
Cleaning is routine, and routine depends on reliability. Every site has fixed days, an order of rooms and the paths in between. A district groups sites so that one person can get through them one after another without long journeys. Good rounds are built so that an absence through illness or holiday does not cause chaos: someone else can take over because it is clear what to do and where the key is. Record access, contact person and special features for every site. In the shared calendar of craftflowOS your team sees its appointments, reminders go out automatically, and with roles you decide who may see what.
Calendar & teamQuality control with checklist and photo
Whether the cleaning was good is for the customer to decide, but you should know before they do. A checklist for each site defines what to check: floors, sanitary areas, surfaces, glass, waste. That way you do not judge by feeling but always by the same measure. A photo of the result documents the condition and helps if a customer complains later. Discuss defects with the team without detours and record what was put right. Complaints are a chance, because whoever reacts quickly keeps customers. In Customers & projects of craftflowOS, notes and history are attached to the customer, and you find again what was discussed about a site.
Customers & projectsHours per site
A cleaning contract is calculated, and the calculation is only right if the hours are right. If you do not know how long a site really takes, you only notice in the margin. So compare the intended time with the actual time per site and raise differences: has the area grown, the use become heavier, the access more awkward? Then you can adjust price or scope instead of paying extra yourself. For the team, too, it is fairer when the targets are realistic. In craftflowOS your team clocks in and out on the project, and you see the actual hours per project without collecting slips.

Questions from the workshop
How do I schedule cleaning teams across several sites?
In the shared calendar. Appointments and availabilities are in one place and reminders go out automatically. You can book additional seats at any time.
How do I record working hours?
Clocking in, out and breaks are recorded in the app on the right project. You approve the times and export them for payroll.
Does it work in a basement or underground garage without signal?
Yes, for the essentials: you can save appointments, site documentation and quote drafts even without signal. They are sent as soon as your phone has a connection again.
Can I write invoices for regular customers?
The invoice is built from your project data and goes out by e-mail as a PDF with your own letterhead. E-invoicing and GoBD compliance come with every plan.
How safe is the site data?
Your data is stored on servers in Germany and processed in line with GDPR. The app only uses camera and microphone for photos and speech, and in your system settings you decide what it may do.
